Karama Expeditions (“Karama”, “we”, “us” or “our”) is a destination management company based in Kampala, Uganda, with operations in Uganda and the United Arab Emirates. We provide tours, safaris, international holidays, corporate and MICE travel, visa support, accommodation bookings, airport transfers, coffee tours and wellness trips.

We handle personal data in line with the Data Protection and Privacy Act, 2019 of Uganda and, where applicable, the data protection laws of the United Arab Emirates and the countries our travelers come from.

We collect only the information we need to plan and deliver your trip:
- Contact details: your full name, email address, phone or WhatsApp number and country of residence.
- Trip details: destinations, travel dates, number of travelers, preferences, budget and special requests you share with us.
- Booking and travel documents: passport details, nationality, date of birth and visa information, where needed to book flights, permits, accommodation or visas.
- Special requirements: dietary needs, accessibility needs or medical information you choose to give us so we can arrange your trip safely. We only use this for that purpose.
- Payment information: payment confirmations and invoices. Card details are processed by our payment providers and are not stored by us.
- Website data: IP address, browser type, pages visited and similar technical data collected through cookies and analytics tools.
If you book for other people (for example family members or colleagues), please make sure they agree to you sharing their details with us.
3. How We Use Your Information
We use your information to:
- respond to your enquiries and prepare quotations and itineraries;
- make and manage bookings with hotels, airlines, transport providers, park authorities and other suppliers;
- provide visa and travel document support;
- send booking confirmations, travel updates and important trip information;
- process payments and keep financial records;
- support you before, during and after your trip;
- send newsletters and travel offers, only where you have subscribed or agreed to receive them;

- meet our legal, tax and regulatory obligations.
4. Legal Basis and Consent
We process your personal data because you have given us consent, because we need it to arrange the travel services you have asked for, because the law requires it, or because we have a legitimate business interest in running and improving our services. You may withdraw your consent at any time by contacting us; this will not affect processing that has already taken place.
5. Who We Share Your Information With
We do not sell your personal information. We share it only where necessary to deliver your trip or run our business, with:
- travel suppliers such as hotels, lodges, airlines, ground transport companies, tour guides and national park or wildlife authorities;
- embassies, immigration offices and visa processing authorities, when you use our visa support service;
- payment processors and banks;
- IT, hosting, email and messaging service providers that help us run the Website and communicate with you (including WhatsApp);
- professional advisers such as accountants, auditors and lawyers; and
- government or law enforcement authorities where required by law.
We require our partners to keep your information secure and to use it only for the purpose for which it was shared.

Because we arrange travel across Africa, the Middle East, Europe and other regions, your information may be transferred to suppliers and authorities outside Uganda, including countries with different data protection laws. When we do this, we share only what is needed for your trip and take reasonable steps to ensure your information is protected.
7. How Long We Keep Your Information
We keep personal information only for as long as needed for the purposes described in this policy, including to meet legal, accounting and tax requirements. Enquiry information that does not lead to a booking is kept for up to [24 months]. Booking records are kept for up to [7 years]. After that, we securely delete or anonymise it.
8. How We Protect Your Information
We use reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access, including secure (SSL) website connections, restricted staff access and password-protected systems. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we work hard to protect your data.

- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information where we no longer need it;
