1. About These Terms

These Terms of Service (“Terms”) apply to your use of the Karama Expeditions website [www.karamaexpeditionsltd.com] (the “Website”) and to all enquiries, bookings and travel services provided by Karama Expeditions (“Karama”, “we”, “us” or “our”). By using the Website or booking with us, you agree to these Terms. Please read them carefully before booking.

2. Use of the Website

You may use the Website for personal, lawful purposes only. You must not misuse the Website, try to gain unauthorised access to it, upload harmful content, or copy its content for commercial use without our written permission.

3. Information and Prices

We work hard to keep the information on our Website accurate and up to date. However, destination information, itineraries, photographs and prices are provided as a guide and may change without notice.

  • Prices shown as “From” are starting prices per person and depend on season, availability, group size and accommodation choice.
  • A final price is only confirmed in your written quotation or booking confirmation.
  • Prices may change before your booking is confirmed due to changes in supplier rates, park and permit fees, fuel costs, taxes or exchange rates.
  • Unless stated otherwise, prices exclude international flights, visa fees, travel insurance, tips and personal expenses.

4. Enquiries and Bookings

Submitting an enquiry through our Website, WhatsApp, email or phone does not create a booking. A booking is confirmed only when:

  • you have accepted our quotation and itinerary;
  • we have received the required deposit; and
  • we have sent you a written booking confirmation.

The person making the booking must be at least 18 years old and confirms that they are authorised to accept these Terms on behalf of everyone in their group.

5. Payments

  • A deposit of [30%] of the total trip cost is required to confirm your booking, unless your quotation states otherwise.
  • Gorilla and chimpanzee permits, flights and some special services may need to be paid in full at the time of booking.
  • The balance is due no later than [45 days] before your travel date. For bookings made within [45 days] of travel, full payment is required at booking.
  • Payments can be made by [bank transfer / mobile money / card]. Any bank or transfer charges are paid by the client.
  • If full payment is not received on time, we may treat the booking as cancelled by you and apply the cancellation charges below.
  • Payments made through the Karama Travel Saver membership are subject to the separate Travel Saver terms provided at sign-up.

6. Cancellations by You

If you wish to cancel your booking, you must tell us in writing. Cancellation charges are based on the date we receive your notice:

  • More than [60] days before travel: loss of deposit
  • [59 – 30] days before travel: [50%] of the total trip cost
  • [29 – 15] days before travel: [75%] of the total trip cost
  • Less than [15] days before travel or no-show: [100%] of the total trip cost

Gorilla and chimpanzee permits, flight tickets and other non-refundable supplier costs cannot be refunded once purchased, whatever the date of cancellation. We strongly recommend travel insurance that covers cancellation.

7. Changes to Your Booking

If you ask to change your booking after it has been confirmed, we will do our best to help. Changes depend on availability and may involve extra costs charged by suppliers, plus an amendment fee of [USD 50] per change.

8. Changes or Cancellations by Us

Occasionally we may need to make changes to your itinerary, for example because of weather, road conditions, supplier issues or safety concerns. Where this happens, we will provide an alternative of similar standard wherever possible. If we must cancel your trip for reasons within our control, you may choose an alternative trip or receive a full refund of the money you have paid us.

9. Passports, Visas and Health

  • You are responsible for holding a valid passport (usually with at least 6 months’ validity), visas and any required health documents, such as a Yellow Fever vaccination certificate.
  • Our visa support service is advisory and administrative. Visa decisions are made solely by the relevant immigration authorities, and we cannot guarantee that a visa will be issued. Visa fees are non-refundable.
  • You should check health and vaccination requirements with your doctor before travelling and tell us about any medical conditions that may affect your trip.

10. Travel Insurance

Comprehensive travel insurance is strongly recommended for all travelers. It should cover cancellation, medical expenses, emergency evacuation, personal accident and loss of belongings. Karama is not responsible for costs that would normally be covered by travel insurance.

11. Third-Party Suppliers

We work with carefully selected hotels, lodges, airlines, transport providers, guides and activity operators. These suppliers are independent businesses with their own terms and conditions, which also apply to your booking. While we choose our partners carefully, we are not responsible for their acts, omissions or failures, except where caused by our own negligence.

12. Your Responsibilities While Travelling

We ask all travelers to respect local laws, customs, wildlife and park rules, and to follow the instructions of guides and rangers, especially during safaris and gorilla or chimpanzee trekking. We may end the trip of any traveler whose behaviour puts others at risk or causes serious disruption, without a refund.

13. Limitation of Liability

To the extent permitted by law, Karama is not liable for any loss, injury, damage, delay or expense caused by events beyond our reasonable control, by third-party suppliers, or by your own actions. Where we are found liable, our total liability is limited to the amount you paid us for the affected services. Nothing in these Terms limits liability that cannot be limited under the law.

14. Force Majeure

We are not responsible for failing to perform our obligations because of events beyond our control, including natural disasters, extreme weather, epidemics, political unrest, government actions, strikes, border closures or airline failures. In such cases, we will work with you to rebook or offer a credit where suppliers allow it.

15. Intellectual Property

All content on this Website, including text, photographs, logos, graphics and itineraries, belongs to Karama Expeditions or its licensors. You may not copy, reproduce or use it for commercial purposes without our written permission.

16. Complaints

If you have a problem during your trip, please tell your guide or contact us immediately so we can try to fix it on the spot. If you remain unhappy, send us a written complaint within [30 days] of your return and we will respond as quickly as possible.

17. Governing Law

These Terms are governed by the laws of the Republic of Uganda. Any dispute will first be resolved through good-faith discussion and, if that fails, will be referred to the courts of Uganda.

18. Changes to These Terms

We may update these Terms from time to time. The version in force at the time of your booking will apply to that booking.
